Send a virtual postcard to a friend with Qualifio

We often get the question: can we make a campaign for people to send a postcard to their friends? The answer is yes, but with some limitations :-) The postcard can't be customised and the text will appear under the image in the email your participant's friend will receive. Here's a small tutorial.

1) Contact the admin of your account

You will need them in order to manage identification forms and create a new custom CRM variable in the Settings of your account, which will be used for the friend's email address.

The account Admin needs to prepare a form for you with a text field linked to this variable:

2) Create your new campaign

You'll need a first question (e.g. "What is your wish for your friend?") and a form. You can use a quiz or survey.

Question 1 should look like this:

Then, select your form:

3) Set up your exit screen and your email to be sent

Select friend email as the Recipient's email address and upload your postcard as an image in your email.

Then, select the answer to Question 1 thanks to the variables:

Click Save, preview your campaign and participate in it. Your friend will receive their postcard like this:

4) How to create GDPR-compliant postcard emails

The challenges

With a "postcard email", you collect the referred friend's email address from a participant and email this referred friend.

In addition, you process personal information about the referred friend.

However, the referred friend would not be able to provide consent for their data to be processed until this email is received.

Our recommendations

To operate within the requirements of GDPR, we suggest you to

  1. Provide a privacy notice for the referred friend that clearly defines the mandatory elements related to the fact that the personal data is not obtained from the data subject, including the source from which the personal data originates (see article 14.1 of the GDPR regulation).
  2. Delete the referred friend's data as soon as it is no longer necessary for the purposes of your legitimate interests.
  3. Be sure to use the appropriate legal ground for sending the email to the referred friend (see article 6.1 of the GDPR regulation).
